How to Move Microsoft Office to a New PC

Getting a new computer is a great feeling, but setting it up can be a headache. One of the most common issues we see in the shop is moving a Microsoft Office licence from an old PC to a new one.

Microsoft restricts how many computers can use a single licence. If your old computer broke, or you sold it without signing out, your software will simply refuse to activate on your new machine.

We help clients fix this all the time. Here is exactly how to free up your licence and move it to your new computer, whether you have a Microsoft 365 subscription or a one-time purchase like Office 2024 or 2021.

Moving a Microsoft 365 Subscription

If you pay a monthly or yearly fee for a Microsoft 365 subscription, moving your licence is very easy. You do not even need to turn on your old computer. You can simply sign out remotely from your web browser.

Here is what you need to do:

1. Go to the Microsoft Account website (account.microsoft.com) and log in with your email and password.
2. Click on Services & subscriptions at the top of the page.
3. Find your Microsoft 365 subscription and click Manage.
4. Scroll down until you see the Devices section. This lists every computer currently using your software.
5. Find your old computer on the list and click Sign out.

This instantly frees up a spot. You can now log into your new computer, download your apps, and they will activate immediately.

Moving Microsoft Office 2024, 2021, or Older Versions

If you bought Microsoft Office outright with a one-time payment, the rules are different. Microsoft only allows these versions to run on one computer at a time.

Crucially, you cannot just click a button online to sign out. How you move the licence depends on whether you still have your old computer.

If Your Old Computer Still Works

The process is straightforward if you can still turn on your old PC. You must completely uninstall Office from the old machine first.

Go to your computer’s settings, find your list of installed apps, and uninstall Microsoft Office. Once you do this, the licence is free. You can then download, install, and activate Office on your new computer without any issues.

If Your Old Computer is Dead or Gone

We see this scenario all the time. Your old laptop died, or you already wiped and sold it before uninstalling Office. You are stuck because Microsoft still thinks the software is installed on the old machine.

Here is how you fix it:

1. Install Office on your new computer normally.
2. Open an app like Word. It will likely fail to activate over the internet and give you an error.
3. When the activation wizard pops up, choose the option to Activate by telephone.
4. Call the toll-free number provided on your screen. You will speak to an automated system.
5. Provide the installation ID on your screen.
6. The automated system will ask you a very important question: “How many computers is this copy of Office installed on?”
7. You must answer “One”.

Because your old computer is dead or wiped, this copy is only on your new PC. Answering “one” usually forces the system to transfer the activation to your new computer immediately.

Will You Lose Your Word and Excel Files?

Customers often ask us this in our repair shop. People worry that uninstalling Office from their old computer means their documents will suddenly disappear.

We always assure them that their files are completely safe.

Uninstalling or deactivating Microsoft Office only removes the apps themselves. It does not touch your personal files. Your Word documents, Excel spreadsheets, and PowerPoint presentations stay exactly where you saved them.

Your work remains safe on your computer’s hard drive or in your OneDrive cloud storage. You are simply removing the software used to open the files, not the files themselves. Once you install Office on your new PC and transfer your data over, everything will open up exactly as you left it.
